Child care software for Tennessee centers
The parts of running a center that depend on your state, set up for Tennessee instead of left for you to build.
Immunizations by your state's schedule
Each child's vaccines are checked against the CDC childhood schedule for their age, so the office sees who is due.
Tennessee licensing forms, ready to send to families
1 official form, fetched from the state's own site and kept in Farlow's form library. Pick one, mark where the answers go, and families fill it in and sign on their phone, with reminders until it comes back. Each name below opens the form on the state's own site.
Tennessee Department of Human Services, Child Care Licensing
The date by each form is the day Farlow last matched it against the state's site. A weekly check flags any link that stops working or whose file changes. States revise their forms, and the state's site has the current one.
Staff-child ratios in Tennessee
From Tennessee Rules of the Department of Human Services, Chapter 1240-04-01, Licensure Rules for Child Care Centers, 1240-04-01-.22(1). In Farlow you set these bands once, and every room is counted against them as children check in and out.
| Age | Children per staff member | Largest group |
|---|---|---|
| 6 weeks to 11 months | 4 | 8 |
| 12 to 15 months | 4 | 8 |
| 16 to 23 months | 6 | 12 |
| 24 to 29 months | 7 | 14 |
| 30 months | 7 | 14 |
| 31 to 35 months | 7 | 14 |
| 3 years | 9 | 18 |
| 4 years | 13 | 20 |
| 5 years | 16 | 20 |
| School age | 20 | No limit set |
In a group of mixed ages, the rule's own age groups apply (the table below): the narrowest one that holds every child in the group (Tenn. Comp. R. & Regs. 1240-04-01-.22(1)(c)).
| Group | Children per staff member | Largest group |
|---|---|---|
| 6 weeks to 15 months (Chart 1) | 4 | 8 |
| 12 to 30 months (Chart 1) | 6 | 12 |
| 24 to 35 months (Chart 1) | 7 | 14 |
| 3 years (Chart 1) | 9 | 18 |
| 4 years (Chart 1) | 13 | 20 |
| 5 years (Chart 1) | 16 | 20 |
| School age (Chart 1) | 20 | No limit set |
| 6 weeks to 30 months (Chart 2) | 5 | 10 |
| 2 to 4 years (Chart 2) | 8 | 16 |
| 2½ to 3 years (Chart 2) | 9 | 18 |
| 2½ to 5 years (Chart 2) | 11 | 20 |
| 2½ to 12 years (Chart 2) | 10 | 10 |
| 3 to 5 years (Chart 2) | 13 | 22 |
| 4 to 5 years (Chart 2) | 16 | 24 |
| 5 to 12 years (Chart 2) | 20 | No limit set |
Tennessee's two charts overlap, so each age above shows its narrowest Chart 1 row, and a mixed group counts as the narrowest chart row that holds every child. Infants are never grouped with children older than 30 months. Ratios and group sizes may run up to 10% over no more than three days a week (1240-04-01-.22(1)).
Read on October 29, 2026 from the state's published rule. The rule itself is what an inspector goes by.
