Child care subsidy billing and voucher tracking
The agency's share and the family's, on one invoice.
- 01
The agency's share
Name a county, a state program or an employer on a child's Who pays card, with a fixed amount off the top or a percent of the rest. Whatever is left goes to the family, and automatic payments never touch the agency's share.
- 02
Vouchers with dates
Give each voucher its start, its end and its authorization number. The agency is billed only for periods that start inside those dates, and a voucher ending within 30 days is flagged so the family can re-apply.
- 03
One check, many invoices
Log an agency's check and it lands on the oldest invoices first, or split it the way the remittance says. Money beyond what it owes is kept on account.
- 04
A statement for each agency
Every invoice, child, share and payment for a date range, on screen or as a spreadsheet.
- 05
Attendance the agency can trust
Ask families to sign each week's attendance, sign it as the provider, and see which weeks are signed, missing or changed after signing.
