Child care software for Pennsylvania centers
The parts of running a center that depend on your state, set up for Pennsylvania instead of left for you to build.
Immunizations by your state's schedule
Each child's vaccines are checked against the CDC childhood schedule for their age, so the office sees who is due.
Pennsylvania licensing forms, ready to send to families
6 official forms, fetched from the state's own site and kept in Farlow's form library. Pick one, mark where the answers go, and families fill it in and sign on their phone, with reminders until it comes back. Each name below opens the form on the state's own site.
Pennsylvania DHS, Office of Child Development and Early Learning
- Child Health Report (CD 51) (1 page, checked )
- Emergency Contact / Parental Consent Form (CY 867) (1 page, checked )
- Medication Log (CY 862) (1 page, checked )
- Incident Report Form (CY 866) (1 page, checked )
- Verbal Request for Release of Child (CY 863) (1 page, checked )
- Documentation of Emergency Plan Delivery (CD 355) (1 page, checked )
The date by each form is the day Farlow last matched it against the state's site. A weekly check flags any link that stops working or whose file changes. States revise their forms, and the state's site has the current one.
Staff-child ratios in Pennsylvania
From 55 Pa. Code Chapter 3270, Child Care Centers, §§ 3270.51-3270.52 (ages: § 3270.4). In Farlow you set these bands once, and every room is counted against them as children check in and out.
| Age | Children per staff member | Largest group |
|---|---|---|
| Infant (birth to 1 year) | 4 | 8 |
| Young toddler (1 to 2 years) | 5 | 10 |
| Older toddler (2 to 3 years) | 6 | 12 |
| Preschool (3 years to kindergarten) | 10 | 20 |
| Young school-age (kindergarten to 4th grade) | 12 | 24 |
| Older school-age (4th grade through 15 years) | 15 | 30 |
In a group of mixed ages, the youngest child's ratio and group size apply to the whole group (§ 3270.52).
School-age levels go by grade, not age: young school-age is kindergarten until the child starts 4th grade, older school-age is 4th grade through 15 years (§ 3270.4).
Read on October 13, 2026 from the state's published rule. The rule itself is what an inspector goes by.
